Internal and External Contacts: Overview and Settings

Discover all the features available to regular users for contact management.

Manage your business contacts through the net2phone platform. Internal contacts appear automatically as Team Members. When you add an external contact, their name replaces the phone number wherever possible across the app, including:

  • Activity and Calls
  • Messages
  • Shared Inboxes
  • Dialer and call popups

View and filter your contact lists

Open the Contacts tab in the left Activity panel to browse and filter your contacts:

  • All – Every contact visible to you.
  • Favourites – Contacts you’ve starred.
  • Personal – External contacts visible only to you.
  • Integrated – External contacts added through Google integration.
  • Shared – External contacts shared across your company.
  • Company – Internal Team Members on your phone system.
  • Online Only – Company contacts currently active online.

Use the search bar to find contacts by name, phone number, email address, or company.


How to add a new (external) contact

Create an external contact for people you call or message frequently. From the desktop or browser app:

  1. Open the Contacts tab in the left navigation panel.
  2. Click the Add Contact icon in the top right corner.
  3. Enter the contact details (optional):
    • Up to three phone numbers
    • Up to three email addresses
    • Company name
    • Location details (address, city, province/state, postal code)
    • Notes
  4. Choose how the contact is saved:
    • Personal – Visible only to you
    • Shared – Visible to everyone in your company
  5. Click Save.

How to add a contact from call history

You can save a contact directly from recent calls or messages:

  1. Open Activity or Calls.
  2. Click the More Options (⋯) menu on a call or message.
  3. Select Create New Contact or Add to Existing Contact.
  4. Complete the contact details and save.

Integrate your Google Contacts

Connect your Google account to sync your calendar and contacts with net2phone. Google meetings appear in the net2phone apps, and your Google contacts are available when placing calls or sending messages. For setup instructions, see Integrate your Google Calendar and Contacts.


Manage existing contacts

Select any contact to open their profile. Depending on the contact type, you can:

  • Edit personal contact details (if you added the contact).
  • Call the contact.
  • Send a new message.
  • View your call history with the contact.
  • Access voicemails (and call recordings when enabled).
  • Block the number.
  • Delete personal contacts.

How to delete a personal contact

You can delete personal contacts you’ve added or uploaded. From the desktop or browser app:

  1. Open the Contacts tab in the left navigation panel.
  2. Find the contact and open Profile Info.
  3. In the right dialer panel, click the pencil icon to edit the contact.
  4. Scroll to the bottom and click Delete.
  5. Confirm you want to delete the contact.

Import contacts with a CSV upload

Upload a custom contact list by importing a CSV file containing Personal or Shared contacts.
