Change your Two-Factor Authentication (2FA) Method

Learn how to update your 2FA methods for secure sign in.

Two-Factor Authentication (2FA) adds an extra layer of security to your net2phone account by requiring a second verification step when you sign in. In addition to your password, you must confirm your identity by entering a temporary verification code sent to you via a secondary, separate method. Once 2FA is enabled, all users will be prompted to verify their identity every time they log in to their account.

Why implement 2FA?

 2FA helps protect your account even if your password is compromised. Passwords alone can be guessed, reused, or exposed through data breaches. Two-Factor Authentication reduces the risk of unauthorized access by requiring something you have (such as your phone or email) in addition to something you know (your password).

In some organizations, administrators may require Two-Factor Authentication for all users.

If 2FA is enforced at the company level, you’ll be required to complete setup before continuing to use your account. Administrators can also assist with resetting 2FA if access is lost. 

 

Available 2FA Methods

The net2phone system supports multiple authentication methods. You can enable one or more options and choose which method to use when signing in.

Using Multiple Methods

If you enable more than one 2FA method, you’ll be prompted to choose which method to use each time you log in; this flexibility can be helpful if one method is temporarily unavailable.

Use a Time-based One-Time Password (TOTP) authenticator app to generate secure login codes.

  • Examples include Google Authenticator, Authy, and Microsoft Authenticator.
  • Works even without cellular service.
  • Provides the strongest level of account protection.
 
 

SMS Authentication

Receive a one-time verification code by text message on your mobile phone.

  • Requires access to your mobile device.
  • Delivery depends on mobile carrier availability.
 
 

Email Authentication

Receive a verification code at the email address associated with your account.

  • Uses your account email on file.
  • Often used as a default or fallback method.
 
 

Change your 2FA Method 

Two-Factor Authentication (2FA) adds an extra layer of security to your net2phone account. If your company allows it, you can switch between available 2FA methods in the Company Settings portal.

Changing your 2FA method only affects your personal login. Administrators may lock certain methods as the company's default.

Access the Settings Portal

  1. Click your profile icon in the top right corner of the app.
  2. Select Company Settings
    You will be redirect to a new browser tab.

Open Two-Factor Authentication Settings

  1. In the left-most navigation menu, click the gear icon for Settings. 
  2. Click Two-Factor Authentication.
  3. You’ll see the list of available methods:
    • TOTP Authenticator App (e.g., Google Authenticator, Authy)
    • SMS Authentication
    • Email Authentication

Choose a 2FA Method

Select one of the options below and follow the setup flow.

Use a TOTP Authenticator App

From the 2FA page, 

  1. Click Select this method for TOTP Authenticator App.
  2. A QR code will appear. Open your authenticator app and scan the code.

  1. Enter the 6-digit code from your authentication app into the net2phone system to complete setup.
Example: Confirm the authetication app with a 6-digit code. 

Use SMS Authentication

  1. Click Select this method for SMS Authentication.
  2. Enter your mobile number. 
  3. Type the verification code sent by text message.

Use Email Authentication

If your administrator set Email Authentication as the default, you may see “Set by your administrator as default.”

  1. Select Email Authentication.
  2. Enter the verification code sent to your email address.

Recovery Codes

When you finish setting up Two-Factor Authentication, you’ll receive a set of recovery codes.

These codes allow you to access your account if you lose access to your authentication method (for example, if you lose your smartphone).

  • Download, copy, or print your recovery codes and store them securely.
  • Each code can only be used once.
  • You can generate new recovery codes at any time from your 2FA settings. 

Get New Recovery Codes

If you lose access to your device or authenticator app, recovery codes let you sign in. Each code can be used once.

  1. Click Get new recovery codes at the bottom of the 2FA page.
  2. Download or copy them to a safe location.

Quick Tips & Troubleshooting

  • Method unavailable? Your administrator may have locked it for security.
  • No SMS received? Confirm your mobile number and check carrier coverage.
  • TOTP not accepted? Ensure your phone’s time is set to automatic.
  • Lost your authenticator? Use a recovery code to sign in, then switch methods.
