Manage Ring Groups

Learn how to organize and prioritize incoming calls within your business by setting up Ring Groups.

Manage existing Ring Groups from the Sync Settings Portal to update their settings, team member status, assigned phone numbers, and call routing. Ring Groups can use multiple routing tiers, Schedules, and final destinations to control how incoming calls move through your organization.

Ring Group management

Use this article to manage an existing Ring Group. To build a new Ring Group, see Create a New Ring Group.

 

Access Ring Group settings

You can access Ring Group configuration options in the Sync Settings portal. 

  1. Log in to the net2phone desktop or browser app with Admin credentials.
  2. Click your profile icon in the top-right corner.
  3. Click Company Settings from the navigation menu. 
    You will be redirected to the Settings Portal.
  4. Select Ring Groups.

The Ring Groups page includes two views:

  • All Ring Groups displays the Ring Groups configured for your organization.
  • Team Member Status focuses on Ring Group membership and sign-in status for individual team members.

Edit Ring Group settings

Open an existing Ring Group when you need to update its general configuration or call routing.

  1. From the All Ring Groups view, locate the Ring Group you want to update.
  2. Click the pencil icon to edit the Ring Group.
  3. From the Settings subpage, review or update the available Ring Group settings as required.
  4. Open the Call Routing subpage to change how incoming calls are handled.

Manage Ring Group call routing

Ring Group call routing controls which destinations receive calls, how unanswered calls escalate, and where calls are sent when no configured destination answers.

Depending on the Ring Group configuration, routing can remain the same at all times or change according to company Schedules.

Choose 24/7 or Custom routing

  • 24/7 applies the same Ring Group routing at all times.
  • Custom allows different Time Blocks and Schedules to control how calls are routed.

Use Custom when the Ring Group needs different behaviour for business hours, after-hours, holidays, or other scheduled periods.

Edit an existing Time Block

Each Time Block defines when a routing configuration applies and how calls are handled during that period.

  1. From the Call Routing subpage, locate the Time Block you want to change.
  2. Click the pencil icon.
  3. Review the Schedule assigned to the Time Block.
  4. Update the routing tiers or destinations as required.
  5. Review the If Call Not Answered destination.
  6. Click Save.

Add a new Time Block

Add a Time Block when the Ring Group needs different routing during a specific Schedule.

  1. From the Call Routing subpage, select Custom.
  2. Click Add New Time Block.
  3. Enter an identifiable Time Block name.
  4. Select the applicable company Schedule.
  5. Configure the required routing tiers and destinations.
  6. Set the If Call Not Answered destination.
  7. Click Save.

Manage Ring Group tiers

Routing tiers determine which destinations receive a call and the order in which unanswered calls move through the Ring Group.

If a call is not answered by the destinations in the first tier, it moves to the next configured tier. After the final tier, the call is sent to the If Call Not Answered destination.

Edit a routing tier

  1. Open the applicable Time Block from the Call Routing subpage.
  2. Locate the tier you want to update.
  3. Adjust the number of rings before timeout as required.
  4. Add or remove available destinations.
  5. Review any external forwarding number configured for the tier.
  6. Click Save.

Depending on the available configuration, tier destinations can include Team Members, Departments, Special Extensions, or external forwarding numbers.

Add or remove routing tiers

  • Click Add New Tier to create another escalation level.
  • Configure the new tier using the same routing options as the existing tiers.
  • Click Delete on a tier when it is no longer required.

Configure If Call Not Answered

The If Call Not Answered setting defines where a caller is sent after the Ring Group finishes its configured routing.

Available destinations can include:

  • Team Member.
  • Department.
  • Ring Group.
  • Welcome Menu.
  • Special Extension.
  • Forwarding number.
  • Hang up.

When a Team Member or Department is selected, an option may also be available to send the call directly to voicemail.

Avoid routing loops

Every Ring Group should have a valid ending destination. Do not configure the If Call Not Answered destination or routing tiers to send callers back to the same Ring Group or create a circular path between multiple call-routing features.

 

Assign or reassign a phone number

You can update the phone number assigned to an existing Ring Group from the Ring Groups list.

  1. Locate the Ring Group you want to update.
  2. Open the drop-down menu in the phone number column.
  3. Select the phone number you want to assign to the Ring Group.

The Ring Groups list will refresh and display the newly assigned number.

Delete a Ring Group

Delete a Ring Group when it is no longer required.

  1. From the Ring Groups list, locate the Ring Group you want to remove.
  2. Click Delete.
  3. If the Ring Group has an assigned phone number, review the available reassignment option in the confirmation window.
  4. Click Delete to confirm.

Review your Ring Group

After making changes, review the Ring Group configuration to confirm that its Schedules, Time Blocks, routing tiers, and final destination are configured as expected.

Test the Ring Group after making routing changes to confirm that callers reach the expected destinations.
