Create a New Ring Group

Admins can learn how to efficiently set up a new ring group for streamlined communication and improved call management in your organization.

Ring Groups control how incoming calls are distributed across Welcome Menus, Team Members, Departments, Call Queues, and other destinations. Create a Ring Group when you need calls to ring multiple destinations or move through an escalation path before reaching a final destination.

Ring Group routing

Ring Groups are call-flow tools rather than organizational groups. You can use them to:

  • Distribute incoming calls across multiple Team Members or destinations.
  • Create sequential or tiered call routing.
  • Provide escalation, overflow, or backup coverage.
  • Route calls as part of a Welcome Menu or Schedule-based call flow.
 

Create a new Ring Group

You can create and configure Ring Groups from the Sync Settings portal.

  1. Log in to the net2phone desktop or browser app with Admin credentials.
  2. Click your profile icon in the top-right corner.
  3. Click Company Settings from the left navigation menu.
    You will be redirected to the Settings portal.

  1. Select Ring Groups from the navigation menu.
  2. Click Add Ring Group.

Basic Ring Group settings

From the Ring Group Settings page, configure the basic Ring Group information.

  1. Enter a unique Name for the Ring Group.
  2. Review or enter the Extension number.
    The automatically assigned extension is generated sequentially.
  3. If required, select a phone number under Assigned Numbers.
  4. Under Send SMS to, select where SMS messages sent to the assigned number should be delivered.
    • All Company makes messages visible to everyone in the company.
    • Alternatively, select a specific team member or department.
  5. If required, enable Call Recording.
  6. Click Next to open the Call Routing tab.

The Call Routing tab controls which destinations receive the call, how long they ring, and where the call goes if it is not answered.

⚠️ Avoid Ring Group routing loops

Every Ring Group must have a defined ending. Do not route an unanswered call back to the same Ring Group or create a circular path between Ring Groups, Welcome Menus, or other destinations.

Always configure If Call Not Answered with a valid destination so the call flow has a defined ending.

 

Add Ring Group Time Block(s)

After saving the Time Block, review the Ring Group's Call Routing configuration.

Confirm that:

  • The new Time Block appears in the routing list.
  • The correct Schedule is displayed.
  • Existing Time Blocks remain unchanged.
  • The final routing destination is correct.

Test the Ring Group call flow to confirm that the scheduled routing behaves as expected.


Add a scheduled Time Block

Add an existing Schedule to your Ring Group by configuring a Time Block. If you do not have an existing Schedule to apply, check out our article detailing how to Create New Company Schedules

Protect existing routing

If you are editing an existing Ring Group that already includes Time Blocks, do not remove or replace an existing business-hours or after-hours Time Blocks unless your intention is to change the Ring Group routing. Add a separate Time Block for when the new Schedule should apply only during a specific period.

 
  1. Select 24/7 or Custom routing.
  2. Click Add New Time Block.

  1. Enter an identifiable Time Block Name.
  2. Under Schedules, select Existing.
  3. Select the company Schedule you want to use.
  4. Review the dates, times, and time zone displayed for the Schedule.
  5. Configure routing tiers if required.
  6. Set the If Call Not Answered destination.
  7. Click Save.

Create Time Block tiers

Add additional tiers to escalate unanswered calls to different destinations.

If a call is not answered by destinations in the first tier, it moves to the next configured tier in sequence.

  • Click Add New Tier to create another routing tier.
  • Configure the destinations and number of rings for each additional tier.
  • Click Delete to remove a tier that is no longer required.

 Regardless of the number of tiers applied to a Ring Group, you must always have an “If Call Not Answered” destination. 


Configure If Call Not Answered

Use If Call Not Answered to define where the call should go after the final Ring Group tier times out.

Available destinations include:

  • Team member.
  • Department.
  • Ring Group.
  • Welcome Menu.
  • Special extension.
  • Forwarding number.
  • Hang up.

When routing to a team member or department, you can also choose to send the call directly to voicemail.

Save the Ring Group

  1. Review the Ring Group settings, tiers, and unanswered-call destination.
  2. Click Save.
    Success: The new Ring Group is now available across your organization's call flow, including Welcome Menus and Schedule-based routing.
