Create a New Welcome Menu

Admins can learn how to create Welcome Menus to greet callers and route calls using configurable keypad options.

Welcome Menus greet incoming callers and provide keypad options that route calls to the appropriate destination. 


Access Welcome Menu settings

Admins can create a Welcome Menu that allows incoming callers to choose their desired destination, such as Team Members and company directories, Departments, Ring Groups, or other available call-routing destinations. Welcome Menu configuration options are accessible in the Sync Settings portal. 

  1. Log in to the net2phone desktop or browser app with Admin credentials.
  2. Click your profile icon in the top-right corner.
  3. Click Company Settings from the navigation menu. 
    You will be redirected to the Settings Portal.
  4. Select Welcome Menus.

Create a New Welcome Menu

You must have Administrator credentials to configure Welcome Menus in the Sync Settings portal. 

  1. Click Add Welcome Menu.
  2. Enter a unique and identifiable Name.
  3. Review the automatically assigned extension. If required, select a different extension.
  4. Under Assigned Numbers, select a company phone number if callers should reach the Welcome Menu directly.
  5. If applicable, configure the Send SMS to destination to determine where SMS messages associated with the Welcome Menu are delivered.

Configure menu options

Review the available Welcome Menu options and enable the settings required for your call flow.

  • Allow Extension Dialling allows callers to enter a Team Member's extension directly.
  • Play “Please wait while we connect your call” plays a confirmation prompt before transferring the caller.
  • Allow Barging Through allows callers to make a selection before the greeting finishes playing.
  • Caller language determines the language used for supported system-generated prompts.

Configure keypad options

Key Options determine where callers are routed when they press a keypad button.

  1. Configure the required No Selection destination.
  2. Select a keypad number.
  3. Choose the destination associated with that key.
  4. Add additional Key Options as required.

Depending on your configuration, available destinations may include:

  • Team Members
  • Departments
  • Ring Groups
  • Welcome Menus
  • Company Directory
  • Call Queues
  • External forwarding numbers
  • Repeat Menu

Avoid routing loops

Make sure callers have a valid exit path from the Welcome Menu. Do not configure destinations that repeatedly send callers between the same Welcome Menu, Ring Group, or other call-routing features.

 

Create the Welcome Menu greeting

The greeting should explain the available keypad options to callers. Key Options are not announced automatically, so update the greeting whenever you change the menu routing.

Choose one of the available greeting methods:

  • Record Greeting Via Phone
  • Upload Custom Greeting
  • Text to Speech

Save and test the Welcome Menu

  1. Review the Welcome Menu name, extension, assigned number, and SMS settings.
  2. Confirm the No Selection destination.
  3. Confirm that each Key Option routes to the intended destination.
  4. Make sure the greeting accurately describes the configured options.
  5. Click Save.

Place a test call through the Welcome Menu and verify each available caller path before using it in your live call flow.
