Desk Phone Key Settings in Device Management

Administrators can learn how to create and assign desk phone templates for line key options.

Creating standardized device layouts simplifies call handling and gives Team Members faster access to the functions they use most. Device Management in the Sync Settings Portal allows Sync Administrators to create and assign templates for programmable line keys, monitored extensions, call transfers, call parks, paging, additional lines, and supported expansion modules.

Notes and requirements

  • You must have Sync Administrator permissions to access Device Management.
  • Available line-key options depend on the selected device model and its supported features.
  • Company templates can be assigned to multiple devices.
  • Reboot affected devices after assigning or updating a template. Template changes may not appear until the device restarts.
 

Understand device templates

Device templates control how programmable line keys are configured on supported phones. Each template is created for a specific device model and can include monitored extensions, direct transfers, call parks, paging, additional lines, and other supported functions.

Template type Recommended use
Company template Create a shared configuration that can be assigned to multiple devices. Company templates are recommended for standard layouts used across teams or departments.
Personal template Create a specialized configuration for one device. Personal templates are useful when a Team Member needs an additional line, unique monitored extensions, or a custom expansion module layout.

Access Device Management

Log in to the Sync Settings Portal directly, or follow the steps below from the Sync app.

  1. Log in to the net2phone Sync app as an Administrator.
  2. Click your profile icon in the top-right corner.
  3. Click Company Settings.

    You will be redirected to the Sync Settings Portal, with the Company section open to Team Members.
  4. Select Device Management from the side menu.

Any preexisting templates will appear in the main Device Management list. From this page, you can edit a template, clone an existing configuration, review assigned Team Members, or create a new template.

Create a new Company template

Create a Company template to ensure the same line-key layout is available to multiple Team Members. After selecting a device model, Sync displays a phone layout with the programmable button positions supported by that model.

  1. From Device Management, open the Company templates tab.
  2. Click Add Template.
  3. In the General tab, enter a recognizable template name. 
    For example: T33 Alternative.
  4. Optional: Assign the template to Team Members during configuration, or leave the assignment field empty and assign the template after saving.
  5. Click Next.
  6. Select the device model you want to configure.

(Optional) Set a company default template

Enable the company default option so the template automatically applies to new devices of the selected model.

Default template behaviour

A company default template is automatically assigned to new devices that match the selected device model. Existing devices are not updated unless the template is assigned to them.

 

Configure line keys

The first line key is automatically assigned to the device owner’s primary extension. You can customize the displayed label, but you do not need to change the function.

Select an available button to choose its function, destination, and supported action.

Function Behaviour
Speed Dial Places a call to the selected contact or extension.
Monitor Displays the status of another extension using the device LED. The selected action controls what happens when the key is pressed.
Call Park Places a caller in a shared parking slot. Any Team Member configured with the same slot can retrieve the call.
Line Adds calling functionality for another extension. Additional lines are generally recommended for Personal templates.

Line vs. Monitor

A Line provides calling functionality for another extension. Monitor displays the extension’s status and performs the selected action when the key is pressed.

 

Configure monitored extensions

The Monitor function enables Busy Lamp Field (BLF) indicators for the selected extension. LED colours and patterns vary by device model to indicate when an extension is available, busy, or receiving an incoming call.

When configuring a Monitor key, select the extension you want to monitor, then choose what should happen when the key is pressed.

Speed Dial Calls the selected extension when the Monitor key is pressed.
Blind Transfer Transfers the active call directly to the selected extension without first speaking to the recipient.
Transfer to Voicemail Transfers the active call directly to the selected extension’s voicemail without ringing the associated device.
Page Sends a paging announcement to the selected supported device or paging destination.
Advanced Allows the monitored Address and Call Address to be configured separately.
  1. Select an available line key.
  2. Choose Monitor.
  3. Select the extension or destination you want to monitor.
  4. Select the required Monitor action.
    1. Monitor: enable BLF to track availability. 
    2. Transfer VM: enable transfer-to-voicemail when the configured key is pressed. 
    3. Page: enables you to call the monitored phone directly, placing other active calls on hold. 
  5. Repeat the steps for each additional monitored extension.

Transfer to Voicemail action

Select Transfer to Voicemail as the Monitor action so that pressing the key transfers an active call directly to the selected user’s voicemail without ringing their device.

 

Configure advanced Monitor settings

Advanced Monitor settings allow the monitored destination and the destination called when the key is pressed to use different addresses.

  1. Select the configured Monitor key.
  2. Open Advanced Settings.
  3. From the Address dropdown menu, select the address the device should monitor.
  4. In Call Address, enter the destination the device should call when the Monitor key is pressed.
  5. Click Save.

Address and Call Address

Select the required monitoring Address and enter the corresponding Call Address. These values can be configured separately when the monitored address and dialled destination are different.

 

Do not monitor the device owner

A device cannot monitor its own primary extension. If a Company template contains the assigned Team Member’s extension as a Monitor key, Sync can replace or omit the duplicated key based on the replacement-key configuration.

 

Add Call Park and paging

Add shared call-handling functions when Team Members need to park calls or broadcast announcements.

A Call Park key lights up when a caller is waiting in the assigned slot. Team Members must be configured with the same slot number to retrieve the parked call.

  1. Select an available key.
  2. Choose Call Park.
  3. Select the parking slot your team uses.

Add a Page key

A page key enables you to call the monitored phone directly, placing other active calls on hold.  

  1. Select another available key.
  2. Choose Monitor.
  3. Select the device or paging destination.
  4. Select Page as the button action.

Configure replacement keys

Enable the replacement-key option when a Company template may contain a monitored extension that matches the assigned device owner.

When enabled, Sync removes the duplicated extension and replaces it with the next available key configured in the template.

Add an expansion module

Add an expansion module when the device requires more programmable keys than the phone provides. Expansion modules are only available for supported device models.

  1. After configuring the phone keys, click Next.
  2. Select the supported expansion module.
  3. Configure the expansion module keys using the same functions and actions available for the phone.

Configure voicemail access

After configuring the phone and expansion-module keys, click Next to review the advanced voicemail settings. Add extensions when the device should be able to access another user’s voicemail or display voicemail indicators for a chosen extension.

Voicemail for additional lines

Enable voicemail for additional lines only when the template includes one or more secondary Line functions. 

 

Save and assign the template

Review your configurations before saving. Once saved, you can edit templates by clicking the pencil icon in the list. 

  1. Review the configured phone keys, expansion-module keys, and voicemail settings.
  2. Click Save.
    Success: You will be redirected to the Device Management subpage.

Reboot required

Reboot every affected device after assigning a new template or updating an assigned template. Saved changes may not appear until the device restarts.

 

Manage existing templates

Existing Company and Personal templates can be updated from the main Device Management page.

Action When to use it
Edit Update the device layout, assignments, expansion module, or voicemail settings for an existing template.
Clone Create a new template based on an existing configuration without rebuilding each line key.
Assign or unassign Add or remove Team Members and devices from a Company template.

Reboot after template changes

Reboot affected devices after editing a template or changing its assignments. Saved changes may not appear on the phone until the reboot is complete.

 

Tips and troubleshooting

Issue What to check
The template does not appear on the device Confirm the correct template is assigned, then reboot the device.
A line-key option is not available Confirm the selected device model supports the required function and has an available programmable key.
A monitored extension is missing Confirm the extension is available in the company directory and is not the primary extension of the assigned device.
A key was replaced after the assignment Review the replacement-key setting. Sync may replace a monitored extension when it matches the assigned device owner.
The expansion module is not available Confirm the selected phone model supports an expansion module and that the correct device model was selected.
Voicemail does not work for an additional line Confirm voicemail for additional lines is enabled and the required extension was added to the advanced voicemail settings.

Test the device layout

After rebooting the device, test each configured line key. Confirm monitored extensions display the expected LED behaviour and that transfer, voicemail, Call Park, paging, and additional-line functions work as intended.
