You can upload a recording of your own name in the Company Directory section of your Profile Settings. The recording plays when callers use the dial-by-name menu to reach you.
When enabled, you have two available Company Directory options:
- System-generated name prompt (text-to-speech), or,
- Upload custom name prompt.
Enable or Disable your Extension for the Company Directory
Control whether you appear in the company’s dial-by-name directory. From the desktop or browser app:
- Open your Profile Settings:
- Click your initials in the top right corner.
- Click your name from the sidebar menu.
- Click the Company tab.
- Scroll down to the Company Directory section and ensure the toggle is switched on.
- Enabled: Callers can find you by typing your name.
- Disabled: You are hidden from the directory.
Option 1: System-Generated Name Prompt
The system automatically generates a short audio file from the first and last name fields in your profile. You can find your first and last name in the first tab of your Profile Settings.
To preview your system-generated name prompt:
- Open Profile Settings.
- Select Company.
- Locate Name Recording.
- Click Play to preview the system recording.
- Select Use System Recording.
When to choose the system-generated name prompt option
You may want to keep the default system-generated text-to-speech prompt if:
- Your name has a standard pronunciation.
- You prefer a quick default setup.
- You do not want to upload custom audio.
Option 2: Upload a Custom Name Prompt
If your name has a specific pronunciation or you prefer to use your own voice, you can upload a custom audio file. You must upload a custom name prompt via the web interface; you cannot change it in the mobile app.
Before you Begin
- Ensure your extension is enabled for the Company Directory.
- Ensure your administrator has not disabled directory access for privacy or security reasons.
- To upload a custom name, your file must be: in MP3, M4A, WAV; with a maximum size of 20 MB.
Tips for clear audio
To ensure your recorded name has clear audio:
- Speak a little slower than normal, with clear annunciation.
- Use a quiet environment.
- Include only your first and last name.
- Open your Profile Settings.
- Click the Company subtab.
- Ensure your Company Directory is enabled.
- Under Name Recording, choose Upload Custom Recording.
- Select your audio file (.wav or .mp3, depending on build).
- Click Play to review it.
- Choose Replace to save, or Cancel to keep the current file.
Success: You will get a notification when your recording has been successfully uploaded.
