The Company Directory allows administrators to control how external callers locate team members using the dial-by-name directory. From this page, you can manage the directory greeting and choose whether callers search by first or last name.
Before You Begin
Each user is responsible for their own directory options—this article only relates to Admin configurations in the Settings portal. Learn more about your personal Company Directory Options, for the available settings all users can access in their Profile Settings.
- You must be logged in with Admin permissions
- The Company Directory is accessed from the Company section of the Settings portal.
- Only users with Company Directory enabled will be discoverable by callers.
- Name matching is based on the user’s profile name within the net2phone system.
- Supported upload file types include: .mp3, .m4a, and .wav, with a maximum file size of 20 MB.
- Changes apply immediately to inbound directory calls.
Access the Company Directory
You can manage your Company Directory from the Settings portal.
- Log in to the net2phone desktop or browser app with Admin credentials.
- Click your profile icon in the top right corner.

- Click Company Settings from the left navigation menu.
You will be redirected to the Settings portal. - Select the Directory page from the right navigation menu.

Manage the Directory Greeting
The directory greeting is the preset audio that callers hear before they are prompted to search for a team member's extension number. You can listen to your default greeting by clicking the blue play button. Supported files are .mp3, .m4a, and .wav, with a maximum file size of 20 MB.
- Play – Preview the currently active greeting.
- Change – Replace the greeting with a different recording.
- Return to default – Revert to the system default greeting.
The greeting length is displayed next to the audio player.
Update your default Company Directory Greeting
As an Administrator, you can change the default company greeting:
- Under the Company Directory Greeting section, click Change.

- Select your upload file using the drag-and-drop or click-to-browse functions.
- Click Upload and give the system a moment to configure your changes.

Configure Team Member Lookup
Choose how callers search for users in your company directory. Callers will be prompted to enter three digits corresponding to a team member’s name on their phone keypad.
- By Last Name – Callers search using the first three letters of a user’s last name.
- By First Name – Callers search using the first three letters of a user’s first name.
Only one lookup method can be active at a time.
