Manage your Company's Phone Numbers

Admins can learn how to reassign phone numbers for your organization.

Manage how company phone numbers are assigned, displayed, and updated in the Sync Settings portal. Admins can use this page to control where numbers route, update caller ID settings, change existing numbers, and remove numbers that are no longer needed.

Requirements and notes

  • You must be an Admin user to manage company phone numbers.
  • Each Team Member must always have at least one phone number assigned.
  • Phone numbers can be assigned to Team Members, Departments, Ring Groups, Welcome Menus, and Special Extensions.
  • Some assignment options may appear unavailable depending on how your organization is configured.
 

Access company phone numbers

Admins can access the Phone Numbers page from the Sync Settings portal.

  1. Log in to the net2phone desktop or browser app with Admin credentials.
  2. Click your profile icon in the top-right corner.
  3. Click Company Settings.
  4. In the Settings portal, click Phone Numbers.

Assign or reassign a phone number

You can assign an unassigned number or reassign an existing number to a different destination from the Edit menu.

  1. On the Phone Numbers page, locate the number you want to update.
  2. Click the Edit icon.
  3. In the Assign To field, select a new destination.
  4. Click Change.

Available assignment destinations may include Team Members, Departments, Ring Groups, Welcome Menus, and Special Extensions.

Assignment safeguard

A Team Member must always have at least one assigned phone number. If reassigning a number would leave a Team Member without a phone number, the system prevents the change.

 

Update phone number settings

The Edit menu also lets you manage how a phone number appears and behaves. You can update caller ID settings, change the number, and adjust the label used for identification.


Set incoming caller ID

Incoming caller ID settings help you distinguish calls based on their origin. Depending on your needs, you can add a prefix or suffix, replace the caller ID, or leave it unchanged.

  1. Click the Edit icon beside a phone number.
  2. Click Set incoming caller ID.
  3. Choose how you want to modify the incoming caller ID name or incoming caller ID number.
  4. Enter the required value, if applicable.
  5. Click Save.

Set outbound caller ID name

Outbound caller ID name settings let you define the name shown to recipients when calls are placed from the selected number.

  1. Click the Edit icon beside a phone number.
  2. Click Set outbound caller ID name.
  3. Enter the outbound caller ID name.
  4. Click Save.

Change the phone number

You can replace an existing company phone number from the Phone Numbers page.

  1. Click the Edit icon beside the phone number you want to update.
  2. Click Change the number.
  3. Enter an area code.
  4. Select a replacement number.
  5. Click Change.

Change the phone number label

You can update the label used to identify a phone number in the Phone Numbers page.

  1. Click the Edit icon beside the phone number you want to update.
  2. Enter a new label in the available field.
  3. Click Change.

Delete a phone number

You can delete a company phone number that is no longer needed. Review the current assignment before deleting a number to avoid interrupting call routing.

Be careful when deleting assigned phone numbers

Deleting a phone number does not delete the assigned destination. For example, a Department, Ring Group, Welcome Menu, or Special Extension will remain in the system, but the number will no longer route to it.

 
  1. Locate the phone number you want to remove.
  2. Click the Delete icon.
  3. Review the prompt carefully.
  4. Click Delete to confirm.
