Administrators can add, assign, change, and remove company phone numbers directly from the net2phone web aps; this article explains how phone number management works, including built-in safeguards that prevent accidental service disruption.
Before you begin
- You must be an Admin user to manage company phone numbers.
- Each Team Member must have at least one phone number assigned at all times.
- Phone numbers can be assigned to:
- Team Members,
- Departments,
- Ring Groups, and,
- Special Sxtensions, including: Fax, Pagers, Intercoms, and Ringers.
Access Company Phone Numbers
You can manage Special Extensions from the Sync Settings portal.
- Log in to the net2phone desktop or browser app with Admin credentials.
- Click your profile icon in the top-right corner.
- Select Company Settings from the left navigation menu.
You will be redirected to the Sync Settings portal.

- Select the Company Phone Numbers page from the right navigation menu.
Quick tips for Phone Number management navigation
Regular users can access the Phone Numbers page in the Sync Settings portal, but cannot edit, delete, or reassign phone numbers.
- The Search field lets you quickly find numbers by area code or assignment.
- The Assigned To column shows the current destination for each number.
- The Edit and Delete icons appear to the right of each number.

Assign or reassign a phone number
You can change where a phone number routes directly from the Phone Numbers list.
- Locate the phone number you want to update.
- Click the Assigned To field.
- Select a new destination (team member, department, ring group, or other supported object).

System safeguard: A team member must always have at least one phone number assigned; if reassigning the number would leave a team member without any phone numbers, the system displays a warning and blocks the change.

Delete a Phone Number
You can delete phone numbers that are no longer needed, with safeguards in place to prevent accidental loss of service.
⚠️ Be careful not to delete an assigned Phone Number
Deleting a Phone Number does not delete the Department, Ring Group, or Special Extension—these extensions will default to unassigned.
- Click the Delete icon next to the phone number.
- Review the warning message.
- Click Delete to confirm.
