Contacts in the Mobile App

Learn how to organize, update, and manage your contacts using the net2phone Canada Sync mobile app.

Use the Contacts tab in the mobile app to find coworkers, view contact details, and quickly call or message people from your company directory or your device contacts.


Open the Contacts tab

From the mobile app navigation bar, tap the Contacts icon to view your contact directory.

The Contacts tab allows you to:

  • Search for contacts
  • View company extensions
  • View personal contacts
  • Filter contact lists
  • Create new contacts

By default, the contact list is alphabetically sorted by last name.

Device contact permission

If you have not yet enabled contact access, a pop-up message will prompt you to allow access in your mobile device settings. You can choose to share all mobile contacts or select which contacts to merge.

We recommend allowing access to external contacts in the net2phone Canada Sync mobile app so you can quickly call or message clients, vendors, or colleagues outside your organization.

 

Search for a contact

Use the search bar at the top of the Contacts screen to quickly locate a person by searching for their:

  • first name
  • last name
  • extension number
  • phone number

As you type, your list automatically refines with matching contacts from your company directory, personal contacts, or device contacts.

View company contacts

Company contacts include coworkers, ring groups, departments, welcome menus, and other internal extensions configured in your organization's phone system.

These contacts are automatically available in your directory and typically display:

  • Extension number
  • Profile icon or initials
  • Presence status, such as online, busy, or offline

View device contacts

If you allow contact permissions, the app can display contacts stored on your mobile device.

If device contacts do not appear in the app, you may need to enable contact access in your phone's system settings.


Filter contact lists

Use the Lists filter to control which contacts appear in your directory.

Select the All Lists dropdown to open the contact filter panel. From here, you can enable or disable specific contact lists.

Available list filters may include:

  • All – Displays all available contacts.
  • Favourites – Contacts you have marked as favourites.
  • Mobile – Contacts stored on your mobile device.
  • Shared – Contacts shared with your organization.
  • Personal – Contacts you have added privately.
  • Linked – Contacts connected through integrations.
  • Company – Internal company contacts and extensions.
  • Online Only – Displays only contacts currently online.

View contact details

Tap a contact to open their profile and view additional details.

User contact details

To view your own contact details, find your contact profile by searching or scrolling, then select your name.

External contacts and internal team members

Internal users display their extension number for direct dialling within your organization. External contacts display their required and additional information and indicate whether they are company-shared. A contact profile may also include additional details such as phone numbers, email addresses, or company information.

Examples: Contact profiles for a user, an external contact, and an internal team member.

Department

Departments are listed in your contacts. Opening the contact details page reveals the department's call options, assigned phone numbers, team members, and ring timeout rules.

Welcome menu

Welcome menus are listed in your contacts. Opening the contact details page reveals the configured options for the welcome menu, assigned phone numbers, the SMS destination, and an option to preview the welcome menu greeting.

Ring group

Ring groups are listed in your contacts. Opening the contact details page reveals the configured options for the ring group, including time-based schedules, assigned phone numbers, and the SMS destination.

Call or message a contact

From a contact profile, you can quickly start a call or send a message.

  • Select Call to start a phone call.
  • Select Message to send a text message.

The mobile app automatically uses your assigned business number or extension when placing calls or sending messages.


Create a new contact

Contacts can be saved as personal contacts or shared with your organization, depending on your permissions. When creating a new contact, enter the required details and any optional information you want to save.

  1. Tap the Add Contact icon in the top-right corner to create a new contact.

  1. Fill in the required contact fields:
    1. First Name
    2. Last Name
    3. Phone Number
  2. (Optional) Fill in additional contact fields:
    1. Additional phone numbers
    2. Email address
    3. Company name
    4. Location
    5. Notes
  3. (Admin only) Choose whether to Add to Shared Contacts.
    Enable the Add to shared contacts option if you want the contact to be visible to other users in your organization.
  • Enabled: The contact becomes a shared company contact.
  • Disabled: The contact is saved as a personal contact only.
  1. Select Save before navigating away.
