Complete the Sync New Account Set-up Form

Learn how to provide authorized contacts, user information, call-routing preferences, and your electronic signature during Sync onboarding.

Complete the Sync New Account Set-up Form to provide the contact, user, and call-routing information your onboarding team needs to prepare your account. You must also sign the form electronically and verify your submission by email before your response is complete.

Save your progress and resume later

Select Save my progress and resume later to pause the form and return to it later.

Enter your email address, create and confirm a password, and then select Save. Your password must contain:

  • at least 12 characters;
  • one uppercase letter;
  • one lowercase letter;
  • one number; and
  • one special character.

To continue later, select Resume a previously saved form and enter the email address and password you used to save the form.

 

Select your contact roles

On the first page:

  1. Enter your company name and contact information.
  2. Select each contact role that applies to you. You may select one or more roles.
Contact role Access

Administrator

Full account access, including the ability to add or remove users and act as a primary contact for net2phone Canada.

Billing

Access to invoices and account history. Billing contacts cannot request changes that affect services.

Technical

Access to account configuration and passwords. Technical contacts do not have access to invoices.

Optionally, select Add Another Contact to include another authorized contact. For each additional contact, enter their:

  • first and last name;
  • email address;
  • phone number;
  • extension number, if applicable; and
  • applicable contact roles.

When the required fields are complete, select Next Page.

Contact verification is required

The contacts entered in the form are not added to the account until the form is signed and the signatory completes the email-verification process.

 

Tell us about your team

On the second page, provide the information our onboarding team needs to create your Sync users and extensions.

For each user, provide:

  • first and last name;
  • email address;
  • extension number; and
  • device model, if applicable.

Select Add another response to include more users.

When the user information is complete, select Next Page.


Tell us how you handle calls

On the third page, describe how your organization handles incoming calls and how you would like calls to be routed in Sync.

Enter your regular business hours and any details that may affect your initial call flow. For example: 

Our main business number should ring the receptionist first during regular business hours, Monday to Friday from 8:30 a.m. to 5:00 p.m. If the receptionist does not answer after 20 seconds, the call should ring the Customer Service team. If no one answers, send the caller to the company voicemail.

The form will also ask about the following call-routing features:

  • a Welcome Menu;
  • a custom greeting;
  • a schedule for business-hours and after-hours routing;
  • Ring Groups; and
  • simultaneous, sequential, multi-tiered, or cascading call distribution.

Your answers give the onboarding team a starting point for your account configuration. Your onboarding agent will review the details with you before finalizing the call flow.


Review your response

After completing the form, review your responses on the signing page.

Check the following information carefully:

  • your contact information and assigned roles;
  • any additional authorized contacts;
  • your Sync user information; and
  • your call-routing preferences.

Select Make a correction if any information needs to be updated.

Sign and submit the form

At the bottom of the review page, complete the electronic signature.

  1. Draw your signature in the signature field, or select or type your name to sign.
  2. Enter your name.
  3. Enter your email address.
  4. Select Submit Signed Response.

Incomplete response

Your response remains incomplete until you select the verification link sent to the email address entered in the signature section.

 

Verify your signature by email

After submitting the signed response, check your email for a message from FormAssembly Notification.

  1. Open the verification email.
  2. Select the verification link in the message.
  3. On the Signatory Verification page, select Verify Identity.

Select Verify Identity to complete the signatory-verification process.

When verification is complete, the Signatory Verification page displays Thank you. You are now verified.

You may select the link on the confirmation page to access your E-Signature Record. The record may remain incomplete while it is being sealed and finalized. FormAssembly will send another email when the final record is available.

After you verify the form

Your onboarding team will review the submitted information and contact you if any details need to be confirmed before your Sync account is configured.
