Every onboarding process is unique. Your net2phone Canada onboarding team will guide you through the required setup steps, documentation, training, testing, and number porting process.
Required documentation
After reviewing your organization's needs, your onboarding agent will send the required onboarding documentation by email.
Complete the Sync New Account Set-up Form and any additional documentation requested by your onboarding agent.
Submit documents within 48 hours
Complete and return the requested documentation within 48 hours of receiving it. Prompt submission helps prevent delays in your account setup timeline.
1. Sync New Account Set-up Form
The Sync New Account Set-up Form collects the information your onboarding team needs to prepare your account, including:
- your company and contact information;
- your Administrator, Billing, and Technical contact roles;
- your Sync users and extensions; and
- your initial call-routing preferences.
You can enter users directly in the form or email your onboarding agent a completed CSV or XLSX user list.

The form must be signed electronically and verified through the email sent after submission.

Additional authorized contacts
The Sync New Account Set-up Form allows you to assign contact roles to yourself and add other authorized contacts. Your onboarding agent may request additional contact information when more contacts or authorizations are required.
2. Online Porting Form
Complete the Online Porting Form to list the phone numbers you want to transfer to net2phone Canada, if applicable.

After you submit your documents
After receiving your completed documentation, your onboarding team will create your Sync account, add your users, and configure an initial call flow based on your onboarding requirements. If applicable, the team will also order hardware for your location.
Product training
After your account is created, your onboarding agent will contact you to schedule a Sync training session. During the session, you can ask questions, review key features, and learn how to use and manage your communication system.
After training is complete and any requested hardware has been received, test the system using the recommended Deployment Test Plan.
If you received desk phones, connect them at the appropriate locations in your office. The assigned extensions will appear after the phones finish starting up and connecting to the service.

Number porting and billing
After the system has been tested for one week, your onboarding team will submit the number port request. Number porting typically takes five to seven business days to complete, depending on the information provided and the requirements of the existing carrier.
Service activation
Your onboarding agent will notify you when the number transfer is complete and your Sync service is live.
