Delegate Account Access

Admin users can learn how add Delegate users, who can access and manage parts of your company configuration using their own login credentials.

Administrators can grant limited administrative access to their net2phone account by adding delegate users. Delegate users are not team members and are typically external individuals, such as IT partners or service providers, who need to configure settings on your behalf.

Before You Begin

Before adding a delegate user, review the following requirements and considerations carefully.

  1. You must be logged in as an Administrator.
  2. Delegate users are not employees or team members of your organization.
  3. Delegate access provides visibility into account data and configuration settings.

You should only grant delegate access to trusted individuals.

 

⚠️ Important Notice for Account Delegation

By adding a delegate user, you acknowledge and agree to the following:

  1. Delegate users will have access to your account, including account data, customer information, and Protected Health Information (if applicable), as defined in the Terms of Service.
  2. Actions taken by delegate users are performed on your behalf.
  3. net2phone is not responsible for changes, actions, or configurations made by delegate users.

Review the Terms of Service before proceeding.

 

Access Delegate User Settings

You can manage Delegated Users from the Sync Settings portal. 

  1. Log in to the net2phone desktop or browser app with Admin credentials.
  2. Click your profile icon in the top right corner. 
  3. Click Company Settings from the left navigation menu.
    You will be redirected to the Sync Settings portal. 
  4. Select the Delegation page from the right navigation menu.

Add a Delegate User

Follow the steps below to invite a new delegate user.

  1. From the Delegation page, click Add Delegate User.
  2. Enter the delegate user’s name.
  3. Enter the delegate user’s email address.
  4. Review the access notice displayed in the dialog.
  5. Click Save to send the invitation.
    An email invitation will be sent to the delegate user so they can set up their credentials and access your account.

After you send a Delegation invite

After a delegate user is added, the following applies.

  1. The delegate user receives an email to complete account setup.
  2. Once activated, the delegate user can access your account using their own login.
  3. You can remove delegate access at any time from the Delegation page.

For security reasons, regularly review delegate access and remove users who no longer require it.
